About the software

What is EHS Axis?

EHS Axis is cloud-based environment, health and safety (EHS) software. It brings non-conformities and corrective actions, inspections and audits, risk assessment, periodic equipment inspections and employee training together in one place.

The goal is that an issue can be recorded on the shop floor in a few taps — with a photo, location, owner and deadline — while management always sees what is open, what is overdue and what has been resolved. Instead of paper, scattered spreadsheets and e-mail threads, everyone works from the same up-to-date picture.

Who is it for?

Mainly manufacturing, logistics, construction and service companies with regular inspections, audits and safety records — from a single site with a handful of people to multi-plant organisations.

It fits ISO 45001 (occupational health and safety), ISO 14001 (environmental management) and ISO 9001 (quality management): non-conformities can be classified by management system, so all three can run in one place.

EHS Axis is available to businesses and organisations only; individuals cannot sign up.

Which modules does it include?

Non-conformities: recording with before/after photos, area, type, severity, owner, deadline, an approval workflow and a full event log.

Actions: corrective and preventive actions with owners and deadlines, with every open task in one list.

Audits and inspections: your own checklists, recurring schedules (e.g. every four weeks), photos per item, and a non-conformity opened from a failed item in one click.

Risk assessment: likelihood × severity matrix, actions, and non-conformities opened from a risk.

Equipment: periodic inspections (e.g. forklifts, lifting equipment, electrical safety) with certificates and expiry tracking.

Training: records per employee and training type, a matrix view and expiry tracking.

Reports: summaries, charts, PDF reports and Excel exports.

Does it work on a phone?

Yes. EHS Axis runs in the browser and is optimised for mobile: inspectors can record a non-conformity on the spot with their phone, attaching a photo taken directly with the camera.

The app can also be installed on the phone's home screen (PWA), so it starts just like a regular app — no app store needed, and every update appears automatically. It works on both Android and iPhone.

Which languages are available?

Seven: English, Hungarian, German, Polish, Romanian, Czech and Slovak. Each user chooses their own language, so colleagues in the same workspace can work in different languages — the recorded data is shared.

E-mail notifications, PDF reports and Excel exports are also produced in the user's language. The legal documents (Terms, Privacy Policy, Data Processing Agreement) are binding in Hungarian and English; in the other languages the English version is shown.

We have several sites — can they be managed in one system?

Yes. You can add sites and assign areas, equipment and employees to them. In the sidebar you can filter to one site with a single click; every list, summary and report then shows only that site's data.

If you work for several legally separate companies (e.g. subsidiaries), one user can be a member of several company workspaces and switch between them in the header. The companies' data is completely separated.

How long does it take to get started?

A smaller team can usually start on day one. When you register a new company you get default master data (areas, non-conformity types, management systems, audit templates, equipment inspection and training types), which you can adapt to your own operations.

Employees can be imported in bulk from Excel or CSV, and colleagues are invited by e-mail. The built-in help explains on every page what the feature is for and how to use it. For larger rollouts (several sites, many users) we are happy to help with the setup.

Free trial and plans

How does the 30-day free trial work?

After signing up you can try every feature free of charge for 30 days, without entering a credit card. During the trial you can work with real data and invite your colleagues.

The trial does not turn into a paid subscription automatically — you only pay if you decide to continue and choose a plan.

What happens when the trial or the subscription ends?

Your workspace and all data are kept. For 7 days after expiry everything works as usual (grace period); after that the account becomes read-only: data can be viewed and exported, but no new records can be added.

As soon as you subscribe, the account is fully active again — nothing is lost and nothing has to be set up again. If you do not continue, your data is deleted at the end of the retention period described in our terms.

What is the difference between the plans?

Prices are per company, not per user. Starter can be used by up to 10 users and Pro by up to 50 users; Enterprise offers unlimited users on a custom quote.

Starter is meant for a small team at one site; Pro for companies working with several areas, audits, risk assessment, equipment and training records and several sites, with priority support; Enterprise for several companies or plants, with custom integration (e.g. SSO / Active Directory, API, ERP or HR connections) and onboarding support. A detailed comparison of the plans is on the Pricing page.

Who counts as a user, and what if our team grows?

A user is anyone who works in the system with their own login (records, approves, views). Employee records — for example in the training matrix — do not count: you can add any number of employees who have no login.

Once you reach your plan's user limit, new invitations can only be sent after upgrading. You can move to a higher plan at any time, with immediate effect.

Can I change plans?

Yes, at any time. Changes are started on the Subscription page and take effect immediately. You can also switch between monthly and annual billing.

If you are unsure which plan suits you, write to us — we will help you decide based on your team size, number of sites and the modules you use.

Can I cancel the subscription?

Yes. Subscriptions are monthly or annual and can be cancelled at any time in the app (Settings › Subscription). Cancellation takes effect at the end of the period already paid for; until then you can use everything as before.

For annual subscriptions there is no pro-rata refund for the remaining period. You can also undo a cancellation at any time while the paid period lasts.

Payment and invoicing

How can I pay?

Starter and Pro can be paid online by card on Stripe's secure checkout page. The subscription then renews automatically (monthly or annually), and the plan is active immediately after successful payment. We never see or store card details.

For Enterprise and custom orders you pay by bank transfer against the issued invoice, with 8-day payment terms.

In which currency do I pay?

In euros (EUR). Companies registered in the United States are billed in US dollars (USD) — the currency is determined by the billing country in your company details, and both the card charge and the invoice are in that currency.

We do not invoice in Hungarian forints or any other currency. On the Pricing page you can view prices in both euros and dollars.

Are prices net or gross? How is VAT handled?

Prices are net, excluding VAT. VAT depends on the billing country and tax number:

Companies in Hungary are charged 27% Hungarian VAT.

Companies registered in another EU member state with a valid EU VAT number are invoiced under the reverse-charge mechanism (the customer accounts for VAT in its own country).

Companies outside the EU — including companies registered in the USA — are invoiced without Hungarian VAT.

The card charge and the invoice always use the same VAT.

Will I get an invoice?

Yes. An electronic invoice is issued for every payment (compliant with Hungarian tax authority reporting), sent by e-mail to the billing address you provided, and also available for download on the Subscription page in the app.

The invoice shows the billing name, address and tax number from your company details — it is worth checking them before ordering. The invoice is issued in the payment currency (EUR or USD).

How much do I save with annual billing?

With annual billing you pay 10 monthly fees for 12 months, so two months are free. The annual fee is paid upfront in one payment.

For annual subscriptions we send an e-mail reminder 7 days before renewal, so you have time to decide about continuing or changing plans.

Can I subscribe as an individual?

No. EHS Axis is a business service available only to companies, institutions and other organisations. A company name is required at sign-up, and billing details including a tax number are required when ordering.

Data, privacy and security

Where is our data stored?

Data and uploaded files are stored in the European Union, in an Aruba Cloud (Aruba S.p.A.) data centre. The service is operated by a Hungarian legal entity (Cyber in Systems Kft.).

The full list of our processors (hosting, e-mail, payments, invoicing, bot protection) is in the Privacy Policy and the Data Processing Agreement.

Is the service GDPR-compliant?

Yes. For the data recorded in the system you are the controller and we act as processor; the data processing agreement (DPA) under Article 28 GDPR is part of our terms and is valid without a separate signature.

We only use cookies that are necessary for the service to work; statistics or marketing cookies are used only on the public pages and only with prior consent. We do not collect analytics data inside the application.

Who owns the data? Can we take it with us?

The data is yours. Every list can be exported to Excel or CSV, and PDF reports can be produced for non-conformities and audits.

The company owner can download the complete data set on the Settings page with one click: a ZIP file containing all data in machine-readable (JSON) and tabular (Excel) form, plus every uploaded file. The export is free of charge and available at any time — this is also how we support switching providers (EU Data Act).

How secure is it?

The connection is encrypted end to end (HTTPS). Passwords are stored only as one-way salted hashes, sign-in is temporarily locked after too many failed attempts, and changing a password signs out every previous session.

Companies' data is strictly separated: every query is filtered to your own company, and automated tests verify this. Permissions are controlled by roles. Uploaded files are checked by their content and are accessible only to members of the company. The system is also reviewed regularly from a security perspective.

Are there backups?

Yes. The database and uploaded files are backed up daily; backups are kept for 14 days and also copied to a separate server. This means data can be restored even after a fault or an accidental deletion.

What happens to uploaded photos?

Photos are optimised automatically on upload: their longer side becomes at most 1600 pixels, which is plenty for documentation and printed reports, while uploads from mobile are faster.

At the same time hidden metadata — including the GPS location recorded by the phone — is removed, so the images reveal no more than what is visible on them. Photos are accessible only to signed-in members of the company.

What happens to our data when the subscription ends?

For 90 days after the subscription ends, the workspace is available in read-only mode: you can still view and export everything, or subscribe again. We notify you by e-mail twice before deletion.

After the 90 days the data is deleted; it disappears permanently from backups within a further 14 days at most.

Using the software

What permission levels are there?

There are six roles: Owner (access to everything, manages the subscription), Administrator (users and master data), Approver (closes and approves resolved non-conformities), Responsible (carries out actions, performs audits), Reporter/inspector (records non-conformities) and Viewer (read-only).

Roles are set per user and can be changed at any time.

How do I invite my colleagues?

On the Settings › Users page, enter your colleague's e-mail address and role. They receive an e-mail with a link to set their own password (or sign in with an existing account) and can start working in your company's workspace right away. You can revoke an invitation or remove a user at any time.

How do employees get into the training records?

One by one or in bulk: employees can be imported from an Excel or CSV file, or pasted from a spreadsheet. Before importing, the system checks the data row by row and only adds rows without errors.

Employees do not need a user account: training and its expiry dates are recorded by the person responsible — even for several employees at once, with a shared certificate.

Do we get deadline reminders?

Yes. The system notifies the people responsible by e-mail about upcoming and missed deadlines (non-conformities, actions, audits, risks).

For equipment inspections and training it sends a notice 30, 14, 7 and 1 day before expiry and on the expiry date, plus a weekly summary of items that have already expired or are missing.

What reports can it produce?

On the Reports page, summaries and charts show open, overdue and closed items, risks and audit results. Printable PDF reports are produced for non-conformities and audits (audit record), with a consistent document header.

Every list can be exported to Excel (non-conformities also to CSV), so you can build your own analyses from them.

Can it be connected to other systems?

In the Enterprise plan we provide integration under a custom agreement: single sign-on (SSO / Active Directory), API access and data connections to ERP or HR systems. In the other plans, data can be exported at any time via Excel, CSV and the full ZIP export.
